Workplace Facilities Coordinator Job Summary
The Workplace Services Facilities Coordinator is responsible for organizing and coordinating Facilities/building operations and procedures in order to ensure organizational and operational effectiveness of the offices. This position will be an intricate part of the Workplace Service team's day to day function and have a huge impact on the company culture. We are looking for someone with not only great experience, but an upbeat and approachable attitude.
Workplace Facilities Coordinator Job Details
- Walkthroughs of all floors, common space, conference room, restrooms, etc. to ensure and or delegate tasks and repairs
- Maintain conference rooms and various common spaces
- Manage the JIRA ticketing system for Workplace Services; ensure all tickets are assigned, routed, and responded to in a timely manner
- Coordinate new hire desks set up; work closely with IT and OfficeOps to make sure desks set up are completed
- Office churn: Work with manager/director and team to prepare desk for departing or incoming staff on a weekly basis
- Ensure all kitchen equipment functions property, create maintenance plans as needed
- Coordinate with appropriate parties regarding guests, meeting needs, deliveries, etc.
- Be part of the Emergency Response Team program and make sure all state and local requirements are met
- Maintain relationship with building maintenance, janitorial, and other vendors
- Assist with setup for events
- Backfill/assist all Workplace Services functions as needed
- Weekly meetings with manager to determine prioritization of projects and tasks
- Maintains accurate seating/space utilization records, working with the company's space occupancy tool (OfficeSpace)
- Move, Adds, Changes MAC : Assist the core WPS team on all size moves of which will require after hours and OT work
- Must be able to lift 50 lbs and move around small office furniture, if needed
- Furniture assembly and installations (i.e cabinets, coat racks, shelving, tvs etc.)
- Assist with special projects as needed
Workplace Facilities Coordinator Required Skills/Experience
- Strong project management skills with a track record of completing projects successfully
- Excellent verbal and written communication skills
- Exceptional organizational and prioritization skills, being able to manage tasks across all sites
- Strong aptitude for staying focused and organized in a fast-paced environment
- Superior multi-tasking and time-management abilities
- Self-motivated, independent, needs little supervision
- Strong attention to detail - accurate data gathering, problem-solver, ability to manage logistical and tactical details
- Excellent computer skills including experience with Windows, Microsoft Office, Google Applications and JIRA
- Ability to manage and develop multiple-step procedures and handle frequent interruptions in workflow
- Customer-service orientation with goal of creating a great employee experience
- Broad understanding of various workplace maintenance functions and able to communicate building issues of various type (i.e HVAC, plumbing, AV, networking etc.)
- Ability to work in a team environment with a diverse group of staff essential
- Minimum 3 years' experience in Facilities
- Work experience in high-tech and/or start-up environment preferred
