Learn more about the benefits of working at UC Brief Summary of Job Duties The Student Affairs Coordinator provides academic and instructional support for all undergraduate and graduate programs in the department of Mechanical Engineering under the general supervision of the Student Affairs Manager. The Coordinator provides administrative support, including, but not limited to: planning department events, graduate recruitment, and other outreach activities; quarterly course coordination, course evaluation coordinating and processing, managing department articulation process, and ordering program and instructor supplies. Assists the Student Affairs Manager with advising enrolled and prospective students on all aspects of their academic experience. The coordinator is responsible for the coordination of all Disabled Student Program (DSP) accommodations, which requires substantive knowledge of University, College, and departmental policies and procedures and the ability to interpret from various academic and administrative offices. Assists with the preparation and maintenance of digital and print materials, assistance with social media platforms to connect with students, alumni, and community members to promote the department, and department website maintenance. Works collaboratively with the Student Affairs Manager, Business Officer, Department Chair, Department Vice Chair, and Department Undergraduate and Graduate Faculty Advisors in a team environment to complete administrative tasks related to graduate and undergraduate matters in the department. Required Qualifications Bachelor's Degree in related area or equivalent experience and/or training. Strong written and verbal communication skills, including active listening. Skills in judgment and decision-making, problem solving. Ability to multi-task. Abilities in problem identification, reasoning, ability to develop original idea to solve problems. Preferred Qualifications Knowledge of University processes and procedures. Knowledge of University-specific computer application programs and pertinent databases. Experience advising/counseling students in higher education or a related field. Experience in interpreting academic policy and procedures compiling and analyzing student academic information and records. Experience in establishing and maintaining effective working relationships with peers, faculty, students, administration and other interested parties. Job Functions/Percentage of Time/Duties Student Affairs Support & Advising 40% Under the general supervision of the Student Affairs Manager and serving as part of the Student Affairs Team advises and supports prospective, incoming, and continuing students on the academic programs. Assists students in understanding requirements and degree milestones for the B.S. in Mechanical Engineering, the B.S./M.S. in Mechanical Engineering, M.S. in Mechanical Engineering, and Ph.D. in Mechanical Engineering programs. Serves as an adviser to undergraduate and graduate students on matters concerning their academic welfare, department requirements, petition requests, financial aid, policies and procedures, leaves of absences, graduation, and registration and enrollment procedures. Resolves scheduling conflicts, and informs on special eligibility requirements such as honors programs, research, internship, and involvement opportunities. Assists with the change of major process, and course articulations in conjunction with the Undergraduate and Graduate Faculty Advisors. During various application seasons, advises prospective students on the application process, admissions criteria, and program requirements. Directs students to appropriate campus resources and departments as needed. Responds on behalf of the department to inquiries about the department, college and university transfer issues, class schedules, add code inquiries, catalogs, curriculum, major requirements, and works collaboratively with the office of the Registrar, the Visitor Center, Admissions, the College of Engineering, community college and high school counselors, and others as appropriate to make this information available and accessible. Uses Student Access and Retrieval Systems (Blue/STAR) to access and/or input student, instructor, TA, and course information. Responsible for ESCI survey coordination, distribution, and maintenance of records for instructors and Teaching Assistants. Orders textbooks and course reserves for all courses offered in the Mechanical Engineering Department. Maintains department library, checking out textbooks to faculty, researchers, post-docs, graduate students, and others as appropriate. Coordinates all Disabled Student Program (DSP) exam accommodations adhering to ADA and campus policy specifications, as directed by the Disabled Students Program. Serves as the primary liaison between students, instructors, testing center, and DSP staff. Serves as one of the department's eGrades coordinators. Coordinates and ensures grades are submitted by the quarterly deadlines and assist in resolving discrepancies. Supports the Student Affairs Manager as needed with the course and classroom scheduling and administration of course material fees. Undergraduate Program Support 30% Maintains and uses up-to-date knowledge on policies, procedures, and requirements for the College of Engineering (COE), College of Letters and Science (L&S), and College of Creative Studies (CCS). Prepares, organizes, and maintains undergraduate student records in conjunction with the Student Affairs Manager. Organizes the development, design, and coordination of the department's articulation database to determine course equivalencies for students transferring coursework to UCSB from community colleges, UC, CSU, private universities, UCEAP universities, etc. Facilitates collection of relevant material (transcripts, syllabi, textbooks, course descriptions, etc.) from students for faculty review and communicates faculty decisions. May serve as a liaison on the Undergraduate Curriculum Committee. Assists with coordination of undergraduate admissions and other outreach events. Graduate Program Support 20% Assists the Student Affairs Manager with the management of academic files for new and continuing students and assists with the preparation of forms and petitions. Assists with coordination of graduate admissions and recruitment activities, new graduate orientation, graduate convocation, professional development, and other outreach events. Assists with evaluating domestic and international transcripts. In conjunction with the Student Affairs Manager, prepares graduate student budgets including TA allocations, Block Grant, and graduate student recruitment funds. Works with graduate students and Student Affairs Manager to create Associate packets for approval according to guidelines created by Graduate Division, Academic Senate, and/or Summer Sessions. In conjunction with the Student Affairs Manager, assists in employment processing for TA's, Associates, Readers, and Graduate Student Researcher positions in UCPath, and preparing graduate student budgets including TA allocations, Block Grant, and graduate student recruitment funds. May serve as a liaison on the Graduate Admissions Committee. Department Support and Miscellaneous Duties 10% Maintains departmental public forum displays, including but not limited to, the development and coordination of recruitment publicity materials, website, newsletters, bulletin boards and social media sites; seeks and/or creates new content for these areas. Maintains graduate and undergraduate email list serves. Assists with special program events, including room reservations and reception planning as needed. Assists in the acquisition, analysis, and maintenance of undergraduate and graduate materials for the UC Program Review Panel (PRP) (every 8 years) and Program Learning Assessment (every 3 years) to investigate questions associated with department Program Learning Outcomes (PLO's) specific to the undergraduate and graduate programs as well as for the Accreditation Board of Engineering and Technology (ABET) reviews (every 2-6years).
