Job Description: Job Summary: The Project Coordinator supports the project teams as they manage the execution of our external client projects. In this capacity, this position communicates with the Project Managers, Project Team members, internal & external clients, vendors and other support teams to reach the goals of the client. PCs utilizes the project management software Procore and supports the firm's documentation and communication processes. Project Coordinators provide administrative/document support, communication coordination, and procurement management to ensure that our Client's deadlines are being met and our Firm's best practices are reflected in our deliverables.. Responsibilities: Assisting with new opportunity process and proposal coordination. Primary Project Coordinator point of contact on assigned projects. The Procore Support Coordinator on a Project. Ensuring the team is effectively using the tool and understands how to use the tool. Support and coordinate activities/processes associated with Procore, for both local and regional projects. Provide document control support to prepare, edit, proof and pdf final documents to be stored in the project documents tool within Procore. Coordinate the documentation of transmittals/ covers, engineering drawings, specifications, scope of works, reports, etc. within Procore prior to being sent out of the office. Support the project team with reporting project status on a regular basis. Coordinate the RFI's and Submittals for the project. Manage the procurement/contracting of Subconsultants and Subcontractors. This includes throughout the project, updating insurance certificates, and assisting with closeout document requests. Assist in coordinating the bidding process, including entering Bid Packages through the bidding tool in Procore, following up with contractors on intent to bid and assisting the contractor through the Procore process. Supporting the Project Managers with Project Updates to internal leadership and Clients. This includes pulling together reports through our internal and external Project Management Systems Requirements: 5+ years overall project coordinator work experience, preferably supporting construction teams Ability to work in a team setting or independently Advanced knowledge of all Microsoft Office programs (Excel, PowerPoint, Outlook, Word, etc.), expertise with web-based applications, and strong communication skills are necessary (written and verbal). Experience with Procore or other project management software preferred Education: Associates or Bachelor's degree in Business Administration, Accounting, Communications or related degree is desired, but is not required. Equivalent appropriate work experience is highly desired and can be substituted for a degree.
