In support of an efficient enterprise, VEOLIA WTS requires a Fleet Administrator with a proven track record of success. The prime candidate will have at least 4 years of experience as Fleet Administrator, Fleet Coordinator, or related fleet experience. This role will be responsible for the administration and coordination of company-owned and leased vehicles; will ensure vehicles are serviced per schedule, manage lease and rental agreements; review and manage fuel card programs; process invoices; maintain fleet databases; develop and distribute fleet reports. Must perform superior customer service. Works under minimal supervision.

Key Responsibilities

  • Works in conjunction with business teams and vehicle management companies as necessary to coordinate the acquisition and disposal of vehicles for US, Canada, and Caribbean.
  • Escalation contact for employees who have company-provided vehicles (i.e., Leased or Owned) in matters related to the administration of the fleet policy. First point of driver contact is the fleet management supplier.
  • Oversee the maintenance of a fleet management database that includes purchases, sales, licensing/registration, insurance, inspections, and maintenance.
  • Works with outside vendors, including decal installation, coordinating the installation of GPS devices, PM scheduling, invoice processing, and other routine operations as assigned.
  • Administers company vehicle program & maintains fleet database of vehicles and equipment.
  • Monitor registration renewal and state transfer processes.
  • Manages fuel card & toll programs & monitors execution of fleet maintenance program.
  • Tracks vehicle transfers from branch to branch & assists with administering various fleet safety programs.
  • Monitors vehicle accident claims both in house and with outside vendors.
  • Prepares periodic vehicle/equipment usage reports as directed, prepares other reports and analysis as may be required by the Fleet Manager and/or regulatory agencies.
  • Audits fleet vehicles at various locations to ensure accuracy.
  • Performs clerical and administrative tasks as required or assigned by the Fleet Manager.
  • Communicates with suppliers, verifies supplier invoices, and processes supplier invoices.
  • Assists drivers & managers with fleet program related questions.
  • Assists in communicating training documents, procedures, and critical fleet program communications.
  • Coordinates necessary actions/communications between drivers, operational management, and human resources.
  • Assists in planning, preparation, and execution of fleet-related issues.
  • Prepares and distributes fleet analytics on an on-going basis.
  • Provides routine follow-up on outstanding fleet issues.
  • Ensures acceptable compliance standards by communicating and supporting operational leaders.
  • Supports process updates and initiatives.
  • Perform other duties as assigned.

Core Requirements

  • Bachelor's degree; or equivalent combination of education and experience. FMCSA/DOT knowledge & CAFM preferred.
  • Four (4) plus years' experience as a fleet coordinator in a multi-state environment.
  • Requires working knowledge of MS Office Suite including Word, Excel, PowerPoint. Experience working in SAP is a plus.
  • Strong written and verbal communication skills are required
  • Ability to listen to and understand customers' needs.
  • Ability to read operating manuals and instructions & good problem-solving skills.
  • Must be able to read, analyze, and interpret general business periodicals, professional journals, technical procedures, manuals, or governmental regulations.
  • Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the public.


This position can be based in Trevose PA area or Minnetonka MN Area, flexible work arrangements available
