Wharton-Smith Inc. is seeking an experienced Payroll Administrator to handle weekly in-house payroll for the company. The Payroll Administrator handles all aspects of weekly payroll while ensuring all accounting and payroll standard operating procedures are followed. This position reports to the Accounting Manager and is also responsible for monitoring and completing special projects as assigned by the Executive Finance team.

  • File multi-state state and Federal tax forms for withholding and SUI taxes
  • Answer employee questions regarding tax forms, payroll calculations, and other compensation issues when asked
  • Process and administer garnishment and child support orders according to State/Federal laws o Prepare year end W-2 and ACA forms
  • Oversee and direct weekly in-house payroll process for 650+ employees including:
  • Export weekly payroll time from HH2 reporting system into Sage 300 for processing o Process weekly timesheets for 650+ employees and audit thoroughly for coding accuracy
  • Process benefit changes as directed by HR o Process credit card deductions, toll violations and other miscellaneous deductions
  • Process 401K changes o Reconcile PTO balances
  • Complete weekly certified payroll reports on WH-347 or into online reporting database
  • Audit and process weekly per diems and expense reports for import into Sage 300
  • Electronic filing of payroll and accounting documents o Import new hires into Sage 300 and audit all new hire and termination paperwork for accuracy
  • Compile labor detail reports for Executive management and outside agencies
  • Pull backup documentation for accountants or audits as assigned by Accounting Manager or Executive Finance team
  • Compile detailed reports of payroll data as requested by Accounting Manager or Executive Finance team
  • Other duties as assigned by Accounting Manager or Executive Finance team

Knowledge/Skills

  • Ability to process complex and specialized payroll while exercising sound decision making and independent judgement
  • Detailed knowledge of paycheck calculation including bonuses, tax withholding, garnishments, and deductions and understand their effect on taxable income
  • Adhere to strict deadlines and demonstrate the desire to work in a fast-paced environment
  • Must be detail oriented and able to complete all assigned tasks with a high degree of accuracy
  • Willingness to be a team player and take on various tasks as needs arise in the department
  • Knowledge of both job costed and general ledger payroll processing
  • Knowledge of Davis Bacon and certified payroll reporting compliance
  • Knowledge of Child Support and Garnishment calculation and remittance procedures
  • Must have intermediate to advanced knowledge of Excel, Word, Outlook, and other Microsoft Office applications
  • Sage 300 CRE and Paperless application knowledge is helpful but not required

  • Bachelor's Degree in Accounting, Finance or Business
  • 2+ years of in-house payroll processing experience
