HR/HSE ASSISTANT - OKLAHOMA CITY, OK

In our organization, the HR/HSE Assistant has a critical and challenging role in helping achieve innovation and meeting our commitments by providing support and coordination in the consistent and effective application and promotion of policies, procedures, and practices of the HR/HSE Department.



Essential Duties and Responsibilities

  • Coordinate and conduct various inspections, observations, and drills to ensure organizational compliance with HR/HSE standards and polices. Perform ongoing audits of the organization's performance in relation to approved requirements.
  • Coordinate and maintain safety equipment inventory programs to ensure stocking levels remain within approved guidelines.
  • Conduct HSE related training to include but not limited to crane operator, forklift operator, and Observer training.
  • Lead and participate in the OSI-OKC Employee Safety Committee to support our safety culture and increase employee engagement.
  • Preform weekly audits of OSI-OKC employee timecards and coordinate with department leadership to correct findings as needed. This will include in-process audits as well as a final audit prior to submitting OSI-OKC information to the payroll department.
  • Process Agency Employee timecards and submit hours worked to the appropriate Agency as needed.
  • Assist in the New Hire Orientation process as required.
  • Promote the HR/HSE initiatives that are implemented by management.
  • Maintain sensitive and confidential information with utmost privacy.
  • Perform all tasks as required of a Safety Sensitive position.




Other Duties and Responsibilities

  • As directed by the HR/HSE Manager, coordinate and maintain employee programs to include but not limited to safety shoe and prescription safety glasses programs.
  • Maintain Authorized Operator Lists for safety sensitive equipment to include but not limited to cranes, forklifts, and automobiles.
  • Build and process reports to provide requested data. This will include both scheduled reporting and on-demand requests.
  • Maintain HR/HSE records to include scanning and filing.
  • Assist the HR/HSE Manager in the implementation of HR/HSE related systems.
  • Build and maintain recruiting files as well as internal and external job postings.
  • Effectively and efficiently use time to safely perform duties.
  • Complete all paperwork in required manner and time frame.
  • Demonstrate a willingness to learn to produce new products, use new procedures, and embrace and support change.
  • Follow and support established HSE programs.
  • Report any unsafe situations to appropriate Management Team member if necessary.
  • All other duties or tasks as assigned.




Knowledge, Skills, Abilities

  • Demonstrated proficiency with MS Word, PowerPoint, Excel, and mobile devices.
  • Solid problem-solving and business acumen skills.
  • Ability to establish and maintain constructive working relationships with people.
  • Strong problem-solving and analysis skills.
  • Ability to manage multiple tasks and projects on a daily basis in a fast-paced manufacturing environment.
  • Ability to speak, write and read English.
  • Able to work independently or as part of a team on a broad variety of projects.
  • Willingness to work additional hours in order to meet tight deadlines.




Qualification Requirements

  • High School Diploma, GED or equivalent.
  • Two (2) years Human Resources, HSE, or administrative support experience preferably in a manufacturing environment.




Physical Requirements

  • Ability to lift and carry up to 30 lbs.
  • Extended walking, sitting, and/or standing.




Tools and Equipment Used

  • Extended use of computer equipment to include but not limited to laptop computer, monitors, keyboard, mouse, scanner, printer, telephone, and mobile devices.
  • Extended use of company designated software programs to include but not limited to HRIS, HSE productivity software, employee time tracking software, and office productivity software packages.
  • Periodic use of overhead cranes and other lifting devices including but not limited to -ton cranes, 1-ton cranes, 5-ton cranes, and associated rigging.
  • Periodic use of Class I, Class II, Class III, and Class IV forklifts.

  • Directly impacts workplace safety through active participation in all Health, Safety, and Environmental (HSE) programs and support of the implementation of such programs into all areas of the facility.
  • Indirectly impacts product realization, product availability, and customer satisfaction through implementation and support of safe work practices to minimize risk to our highly qualified workforce.




Safety Sensitive Position

This position is designated as a Safety Sensitive Position as defined by the Oklahoma Medical Marijuana and Patient

Protection Act.
