Position Summary:
Coordination of all aspects of facilities related tasks, projects, and staff at the Family Partnership Center and associated properties.
Essential Duties and Responsibilities:
Administrative
Maintain facilities budget and complete all necessary agency budgeting/purchasing forms
Maintain Hazardous Communication standards, policies and facilitate staff training
Organize, direct, and oversee all facility/maintenance issues for FSI properties, including FPC, 50 North, and FPC Annex
Manage all facilities and maintenance staff
Review, prioritize, and assign work orders
Monitor completion of all work orders
Monitor building status (safety, cleanliness, and organization) on daily basis
Perform periodic audits of facilities staff work to ensure compliance with policies and procedures; focus on safety policies and procedures
Send out RFP's and obtain quotes for identified/approved projects and make recommendations in accordance with fiscal policy.
Coordinate and oversee reception operations for the FPC, event scheduling
Supervisory
Responsible for all maintenance, cleaning, and FPC front desk reception staff
Set staff schedules to effectively meet the needs of the building
Ensure staff timecards are complete, accurate and approved
Facilitates staff development and training to meet the organization requirements and all regulations.
Provides leadership to organization staff by example, by knowledge and practice of professional skills, relationships, Agency values and standards.
Assures appropriate staffing by recruiting, interviewing, and hiring candidates for positions in operations.
Completes staff performance appraisals in a timely manner, addressing disciplinary issues through the organization progressive disciplinary process.
Track and approve all staff timecards and leave requests
Projects
Coordinate facility/maintenance projects/renovations as assigned
Oversee projects/renovations from beginning to completion; ensure outside contractors are compliant with policies and procedures
Coordinate and oversee reception operations for the FPC
Manage Partner Affiliate relationships:
Respond to and resolve complaints within lease guidelines
Coordinate and assist with moving/construction scheduling and logistics
Make sure new partners are informed of building issues and policies
In tandem with the Security Coordinator, coordinate all building and safety audits and assist agencies conducting such audits
Prepare facilities for inclement weather and manage building during these events, including but not limited to, ensuring appropriate levels of supplies, and required equipment are prepared.
Pre-event coordination and communication with staff, Security Coordinator, and building Partners.
Assist in coordinating and managing all FPC events and special events
Skills and Abilities:
Knowledge of the principles and practices of supervision
Knowledge of building maintenance, cleaning, and operations
Strong knowledge of building safety requirements
Excellent organizational skills, ability to effectively schedule employee workflow
Work well with others, including external community members and facility partners
Excellent administrative and computer literacy skills
Ability to collaborate with outside vendors, staff, and others
Ability to work within tight deadlines
Knowledge of codes for commercial buildings
Other Requirements:
Need to be able to respond to building emergencies within a reasonable timeframe.
Qualifications:
Five years of supervisory experience
Five years of working in a building facility/maintenance position
College degree preferred
