Direct day to day office operations and procedures and performs various clerical duties as directed, assists Facilities Manager with managing corrective work orders within the CMMS, assist in MS Project creation, assist in managing contractors and suppliers. Works on rotating shifts and/or set day/night work schedules as required.

ESSENTIAL DUTIES AND RESPONSIBILITIES
- Writes RFP/RFQ for various types on work
- Assists in training Facility Technicians on technology-based systems
- Tracks labor, parts, and machine history in plant CMMS.
- Maintains a written log of any highlights occurring during shift coverage in conjunction with proper ShiftNote entries.
- Coordinates and manages vendor/service provider activities.
- Coordinates with other department for support services
- Orders supplies from vendors for departments or staff, as needed.
- Reviews facilities projects with Facilities Director and CEO.
- Coordinates Human Resources to on-board and off-board employees.
- Notes items to potentially include in the annual budget planning, as needed.
- Coordinates Safety training and testing.
- Processes check requests for vendor invoices and submits for approval and payment.
- Attends scheduled facility team meetings.
- Answers incoming calls, screens callers, and directs calls accordingly.
ADDITIONAL DUTIES
- Attend all mandatory meetings and training
- Additional duties as assigned
SUPERVISORY RESPONSIBILITIES
- Assists Facilities Director and Engineering Manager in assigning work orders to all shifts.
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
EDUCATION and/or EXPERIENCE
- 5 years administrative assistant experience or other relevant experience
- Experience using project management software
- Experience with CMMS
- Working knowledge of AutoCAD
CERTIFICATES, LICENSES, REGISTRATIONS
- Must be able to obtain and maintain a Gaming License from the Squaxin Island Gaming Commission.
- Valid Washington State driver's license.
