Job Overview

Summary: Receive and process incoming orders via telephone, fax and email. Inform customers on receipt, pricing, ship dates and delays. Responsible for communicating necessary product information and company operating policies as they pertain to sales and service to customers, distributors and manufacturer representatives. Maintains and enforces adherence to meet the requirements of the Quality Management System as well as the Marine Equipment Directive (MED) and the Pressure Equipment Directive (PED). Work and coordinate with all departments to solve customer queries and issues by performing the following duties.

Duties and Responsibilities include the following. Other duties may be assigned.

Operate multi-line telephone system and process incoming calls as required.
Greet visitors and process as required.
Receive and process customer purchase orders.
Process work order and packing list for production and shipping departments as required
Create and send prompt Customer Order Acknowledgements
Generate invoices for all products that ship and create credit memos as approved by the Operations Support Manager.
Develop proficiency in the use of Company's accounting/ERP system.
Provide Pro-forma invoices with shipping quotations for prospective orders to customers.
Coordinate efforts with the various departments (emphasis on shipping & production departments) to satisfy customer requests and requirements under the direction of the Operations Support Manager.
At the direction of the Operations Support Manager, process customer payments (i.e. credit card, etc.).
Review all customer purchase orders for accuracy including parts, pricing, lead time and special requests.
Co-ordinate with accounting A/R personnel on customer's accounts (credit, status, Ship or Hold, etc.).
Co-ordinate with production department on lead time and availability of product
Answer customer inquiries.
Disseminate company and product information to customers, distributors and manufacturer representatives as required.
Coordinate efforts with various departments to satisfy customer requests and requirements under the direction of the Operations Support Manager.
Provide clerical support and front office coverage as required.
Follow all safety rules and regulations.

Job Type: Full-time

Pay: $16.00 - $18.00 per hour
