Job Overview
A. JOB PURPOSE:
Being the point of contact for the department:
Answering incoming calls as well as email messages.
Maintaining department records, including spreadsheets and databases that track sales and customers.
Support management to achieve their sales projections and provide superior customer service.
B. CONTEXT:
Customer Service Representative assists customers with purchases of Recticel services and materials by receiving and processing orders, answering questions, or routing questions to the appropriate support department. The representative serves as liaison between the Customer, Sales, Production, Engineering, and Quality to provide information and clarification of customer orders and to work with customers' paperwork. The representative provides customer support to a specified domestic region and international accounts as assigned.
C. KEY ACCOUNTABILITIES:
Accountability 1: Daily Functions
Key Activities:
Key function is to provide full customer service to mostly B, C and some A list customers. Functions include order entry, requests for quotes, expediting orders, order changes, coordination with Production and Purchasing
Responsible for maintaining current and accurate information in SAP
Enter/print/proof new sales orders
File open/closed orders and quotes
Prepare export forms/special invoices/rush orders
Respond to customer requests
Respond to website leads
Notify Production of any rush order
Notify Purchasing and Production of any special material or large orders
Distributing incoming mail and addressing outgoing mail, as needed
Accountability 2: Customer Orders and Support
Key activities:
Verifying prices to master price sheet to make sure they are up to date.
Verifying contracts are up to date
Monitoring and reporting on time deliveries
Planning placement and tracking sales orders
Responsible for inventory control
Responsible for cycle counts
Reporting daily sales results to the team
Answering incoming calls as well as email messages
Serving as point of contact for company and visitors
Accountability 3: Inside Sales Support
Key Activities:
Discuss customer quotes/orders/samples/lead-time
Coordinate with reps for questions, problems, and quotes.
Keep Regional Managers informed of activity in their territory
Respond to requests for: samples, literature, customer history, quotes, orders.
Other duties as assigned
D. SKILLS AND COMPETENCIES :
Education level & General Experience:
High School Diploma or GED
Technical Knowledge/Expertise:
3-5 years related experience; or equivalent combination of education and experience in a manufacturing setting
Good knowledge of MS office (Word, Excel)
Good knowledge and experience with SAP
Competencies:
Ability to read and comprehend simple instructions, short correspondence, and memos.
Ability to effectively present information in one-on-one and small group situations to supervisors and other employees of the organization.
Ability to adhere to company policies and procedures
Demonstrates ability to multitask, solve problems, and prioritize in a fast-paced environment
