Job Overview
The role of the Assistant Community Manager is to support and assist in managing the property. In the Manager's absence, the Assistant Community Manager will assume all responsibilities of the manager to accomplish the property objectives as set forth by Ferebee Properties. The Assistant Community Manager's duties break down into three general areas: _Manage Apartment Maintenance and Turnover Scheduling, Direct a Highly-Effective Leasing, 2.) Marketing and Resident Retention Program in Accordance with Company Policy and Standards 3.) Contribute in Building and Developing a Successful Operating Team in Accordance with Company Policy and Standards._
Maintain all maintenance records for apartments including carpet replacements, remodels, water leaks, utility bills, and appliance replacements.
Monitor all notice to vacates and conduct move out inspections.
Assess damage charges and approve all billing to resident accounts upon move out inspection.
Schedule all maintenance including painting, cleaning, carpeting and any other needed repairs in vacated apartments in a timely manner.
Maintain accurate make ready status of all vacant apartments.
Accept, write and delegate resident service requests in a timely and accurate manner.
Schedule any and all general maintenance requests by residents utilizing community maintenance staff and approved contractors.
Supervise all maintenance personnel, including hiring, training and terminating of maintenance staff.
Maintain a clear understanding and in-depth knowledge of all OneSite software.
Manage entire leasing staff which includes all full time and part time leasing consultants.
Ensure the leasing staff maintains knowledge and understanding of company polices and ensure that policies are being followed.
Responsible for hiring, supervising and terminating all leasing staff.
Consistently track reasons for move-out.
Plan, promote and attend all resident social functions.
Manage all social media campaigns.
Apply professionalism and friendliness at all times and with all resident interactions such as: receiving rent payments, expediting service requests, answering inquiries and confronting problem situations.
Understand and observe all Fair Housing rules and regulations, in both letter and spirit. Treat all customers with courtesy and respect.
Contribute ideas to Community Manager for improving resident satisfaction.
Assume responsibility for the operations of the property, including reporting systems, in the absence of the Community Manager.
Support whole team effort by providing clerical support and answering phone calls.
Participate in company-provided training.
Schedule all maintenance and leasing staff hours.
Responsible for all weekly payroll numbers.
Complete all assigned reports in an accurate and timely manner.
Assist in inspecting apartments, buildings and grounds to ensure safety and cleanliness. Alert the maintenance department to items that are in need of repair.
Facilitate communication between residents and maintenance staff. Send letters to residents, e.g. trash, cigarette butts, illegal parking, etc.
Support and maintain a positive attitude.
Inform your supervisor if unable to complete work assigned or unable to be at work when scheduled.
Comply with all Ferebee Properties standards; applicable health and safety rules and regulations, as well as applicable local, state and federal laws.
Qualifications
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Education and/or Experience- High school diploma or general education degree (GED); or one to three years related experience and/or training; or equivalent combination of education and experience and other certifications/licenses as required by local jurisdictions. Are required to obtain the National Apartment Leasing Professional (NALP) designation within 18 months of hire date or promotion, except in cases where a Resident Services Specialist or Assistant Community Manager holds or qualifies for a higher designation or unless otherwise approved by Regional/Area Manager.
Language Skills- English- Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
Mathematical Skills- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
Reasoning Ability- Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
